Many offices in Al Barsha share one or two printers across the whole team, from small firms near Mall of the Emirates to companies in the nearby Barsha Heights (TECOM) towers off Sheikh Zayed Road. When that printer shows as offline on half the laptops but prints fine from the other half, the fault is almost always in the network rather than the printer. This guide explains why it happens and how we stop it coming back.
Why does a shared printer keep disappearing from the office network?
In most cases the printer is still switched on and connected. The computers simply cannot find it at the address they remember.
When a printer is first added to a laptop, Windows or macOS saves a route to it. Sometimes that route is an IP address, sometimes it is a name the printer announces on the network. If either of those changes, the laptop keeps knocking on the old door and reports the printer as offline.
The most common causes we find are these:
- The IP address changes. The router hands out addresses for a limited time. After a power cut, a router restart or a long weekend, the printer can come back with a new number while every laptop still points at the old one.
- The printer sleeps on WiFi. Many office printers drop their wireless connection in deep sleep mode to save power. Some wake up when a job arrives over a cable but not over WiFi.
- Two networks in one office. A second router, a mesh system or a guest network can split the office in two. Laptops on one side cannot see a printer on the other.
- Driver and port mismatch. One laptop uses a WSD port, another uses a standard TCP/IP port, and a third installed a generic driver from Windows Update. They behave differently, which is why the problem looks random.
It helps to have someone trace the actual path from laptop to printer. That is the core of our network troubleshooting in Dubai.
What can you check yourself before calling anyone?
A few minutes of checking often tells you which cause you are dealing with. Print a network configuration page from the printer’s own menu first, because it shows the address the printer currently holds.
| What you notice | Likely cause | Quick check |
|---|---|---|
| Printer offline on every computer after a power cut | IP address changed | Compare the address on the configuration page with the one saved on a laptop |
| Works in the morning, offline after lunch | WiFi sleep setting | Press a button to wake the printer and try again |
| Some laptops print, others never see it | Two separate networks | Check which WiFi name each laptop is joined to |
| Jobs sit in the queue then vanish | Wrong port or driver | Look at the printer port listed in the printer properties |
| Scan to email or scan to folder stopped too | Address or password changed on the network side | Note the exact error shown on the printer screen |
Is anything different about printer problems in Al Barsha offices?
The fault itself is the same anywhere in Dubai, but the setup around it varies, and Al Barsha has a wide mix of premises in a small area.
Many offices in the Barsha Heights towers work on a single floor or part of a floor, where the internet line, the router and the main switch may sit in a cabinet the office does not fully control. In that situation, a printer on a building network or a landlord’s WiFi can end up on a different network from staff laptops. We check what belongs to the office and what belongs to the building before changing anything.
Shops, showrooms and service businesses near Mall of the Emirates often run a single ISP router in a back room, with a printer, a few PCs and sometimes a point of sale terminal sharing it. These routers usually have short address leases and limited settings, so printers move address more often than they would on a business router.
Al Barsha also has plenty of villas and apartments with home offices. Mesh WiFi kits and range extenders are common there, and some of them create a separate network that a printer cannot be found across.
How does a printer network troubleshooting visit work?
We follow the same order on every job, so the cause is found rather than guessed. You agree a flat rate with us before any work starts.
- Call or WhatsApp. You describe what staff are seeing. Sometimes a remote session sorts it out without a visit.
- Map the network. Onsite, we note the router, switches, WiFi access points and every device that prints, and confirm they sit on one network.
- Read the printer settings. We check its address, its sleep settings and whether it is joined by cable or WiFi.
- Fix the address. The printer gets a reserved or static address outside the range the router hands out, so it keeps the same number after every restart.
- Clean up each computer. We remove duplicate printer entries, install the correct driver and point every laptop to the same standard port.
- Test from every desk. We print and scan from each machine, then restart the router and test again to prove the fix holds.
- Write it down. You get a short note of the printer address and settings, so the next person who touches the network knows what is there.

How do you stop the problem coming back?
The lasting fix is to give the printer a permanent address and a stable connection, then make every computer reach it the same way.
Where the printer sits close to a network point, a cable is nearly always more reliable than WiFi. If there is no free point, we can look at whether a short cable run or a small switch makes sense, or set the printer’s wireless options so it stays awake on the network.
If the office has grown from three desks to fifteen on the same ISP router, the printer is often only the first symptom. Slow file transfers and dropped calls tend to follow. In that case a proper office network setup in Dubai with a business router and one clear network is worth discussing.
When is it not a network problem at all?
If the printer cannot even print its own configuration page, or its screen shows a hardware error, the network is not the cause.
Paper jams, toner faults, failed rollers and broken network cards inside the printer are jobs for the printer’s dealer or service centre. We will tell you plainly if that is what we find. Once the printer is repaired, we can reconnect it and set up every computer again.

FAQ
Can you fix a missing network printer in Al Barsha the same day?
Often, yes. Phone and WhatsApp are answered 24/7, and many printer problems can be checked remotely first. If a visit is needed, we arrange a time that suits your office in Al Barsha or Barsha Heights. Most address and driver faults are fixed and tested within a single visit, though timing depends on the day’s bookings.
Why does the printer work on my PC but not on my colleague’s laptop?
The two computers are probably reaching the printer in different ways. One may use a saved IP address while the other relies on the printer announcing itself, or one may be joined to a guest WiFi network. Setting both to the same driver and the same fixed address usually ends the difference.
Should the office printer be on WiFi or on a cable?
A cable is the more dependable choice when there is a network point nearby, because it avoids sleep and signal problems. WiFi is fine for small offices and home offices if the printer has a fixed address and its power saving options are set correctly. We can advise on site after seeing the layout.
Do you repair printers that are physically broken?
No. We handle the network side: addresses, drivers, ports, WiFi and scan to email or folder settings. Mechanical faults, toner problems and failed internal parts belong with the printer’s dealer or service centre. We will tell you straight away if we find a hardware fault, and we can reconnect the printer once it is repaired.
How is a printer troubleshooting job priced?
We agree a flat rate with you before any work starts, based on what you describe and how many computers and printers are involved. That way there are no surprises when the job is done. Call or WhatsApp +971 55 822 3165 with a short description and we will talk you through the options.
